Job revenue is recorded twice and the two numbers do not match.

Invoiced totals in QuickBooks are 6.4% higher than job totals in the field app for the same period, because change orders are added to the invoice but never back to the job. Any profitability number pulled from the field app is therefore too low. Fix: record change orders against the job, or treat QuickBooks as the single source for revenue. Effort: about two hours of process change.

    Gross margin per job

    Tells you which work actually pays, not just which work is busiest.

    Where it comes from: Invoices plus the materials sheet, once costs are tied to job numbers.

  2. Number 2

    Repeat-customer rate

    Cheapest revenue you have. Today it looks lower than it is because of duplicates.

    Where it comes from: Customer records, after de-duplicating by phone number and address.

  3. Number 3

    Booked-to-completed rate

    Shows how much scheduled work quietly falls off the calendar each week.

    Where it comes from: Scheduling system, once completion times are required at close-out.

    About 18% of customer records are duplicates. Once merged, repeat work rises from a reported 41% to roughly 58% of jobs.

  • Job costs live outside the job

    Materials are tracked by supplier invoice, not by job. That makes per-job profit a guess, which is the single biggest gap found.

  • Lead source is optional at intake

    Two thirds of calls have no source recorded, so there is no honest way to judge the monthly ad spend.

What do I need to give you?

Read-only access or exports from the systems you already use, plus 30 minutes to walk me through how the business runs. Nothing needs cleaning first.

Is $650 really the whole price?

Yes. One payment, no hourly add-ons. If the scope turns out to be much larger than described, we tell you before doing anything extra.

What if the audit says I don't need anything built?

Then that is the answer and you saved the cost of a dashboard you would not have used. That happens and we will say it plainly.

Can the audit be applied to a later project?

Yes. If you commission a dashboard build within 60 days, the audit fee comes off the build price.
